What information do we collect about you and why?

Potts Ltd respect your privacy and your personal data and has taken appropriate measures to protect against risks such as loss or unauthorised access, destruction, use, modification or disclosure of data.
Your information is used to process your orders and purchases, deliver and improve our services, to contact you and to improve the website experience for our users.
When you make an order or purchase from us, we may collect the following information: name, address, phone number, email address and payment details. Without this information you won’t be able to purchase from us or enter into a contract with us. In these instances, we process your personal data because it is necessary for the performance of a contract with you, or in order to take steps at your request to enter into a contract.
You can opt in to receive marketing communications from us in relation to our products and services by ticking the relevant boxes. We will then send you the relevant marketing communications until such time that you remove your consent. In these instances, processing is performed on the basis of your consent.
We will only share your data with third parties for the purposes of delivering our services, fulfilling any contracts we enter with you, where required by law or to enforce our legal rights.
Only when necessary to deliver our services and run our business, we may share your information with various providers - such as bathroom and kitchen installation specialists, service engineers and manufacturers’ service or installation professionals - who will act as data processors.
How long do we keep your information?
The length of time we retain your data will depend on any legal obligations we have (such as tax recording purposes), the nature of any contracts we have in place with you, the existence of your consent or our legitimate interests as a business.
When you make a purchase from Potts Ltd we retain that information for a minimum period of six years following the end of the financial year during which you purchased from us. It is our legal obligation to keep these records for tax purposes.

We will keep your information for as long is required to respond and complete your enquiry, and for a further 24 months, before deleting your information.

You are entitled to a copy of the information we hold about you in a portable format or otherwise, to request rectification, erasure, or restriction of processing of the information we hold about you, and to object to processing or to automated decision making. We will endeavour to keep your information accurate however if at any time after giving us this information it becomes out of date, then we ask you to notify us directly and we will remove or amend the information within a reasonable time frame and in accordance with legislative requirements.

The protection of data by encryption is possible provided that the encryption method (protocol) used is current and the correct procedure for encryption and decryption is followed at all times. We cannot accept any responsibility for unauthorised access by a third party or for the loss, theft or modification of data while it is being sent to us by email. For security purposes we may monitor emails received or issued by us.
